A mandatory form completed by the landlord or agent and tenant at the end of a residential tenancy that records the final condition of the property, which is compared against the Entry Condition Report to determine whether bond money should be claimed for damage beyond fair wear and tear.

Deadline

Completed at or around the end of tenancy / final inspection. Landlord must return signed copy to tenant within 3 business days (QLD) or 10 days (VIC) of tenancy ending.

How to apply

  1. Tenant cleans the property and makes any necessary repairs prior to the final inspection.
  2. Landlord or agent completes the Exit Condition Report at the time of the final inspection, ideally with the tenant present (tenant must be given a reasonable opportunity to attend).
  3. Both parties note the condition of each room, fixture, and fitting alongside a copy of the Entry Condition Report for direct comparison.
  4. Meter readings (electricity, gas, water) are recorded on the exit report to match against the entry readings.
  5. Landlord or agent signs the form and provides a signed copy to the tenant within the statutory timeframe (QLD: 3 business days; VIC: 10 days of tenancy ending).
  6. If there is no dispute, the bond refund claim proceeds through the relevant bond authority (RTA/RTBA/NSW Fair Trading RBO etc.).
  7. If there is a dispute about damage, the Exit Condition Report (compared with the Entry Condition Report) is the primary evidence submitted to the relevant tribunal (e.g. QCAT, VCAT, NCAT).
